Customize the design and formatting for Outlook Mail



Boredom when using "Calibri, 11pt" for every e-mail you send in Outlook? By default, bright, white e-mail background that hurts your eyes? Fear not, you can change the default e-mail design as you like it, and so goes:

Change the topic for a single message

If you have the theme for a single message To change a single message you create, go to Home> New Messages> Email Message> More Stationery.

This opens the Topic or Stationery window where you can select the topic you want.

Select the topic from the left menu View a preview in the right panel and click "OK" to apply the message to your message.

Change theme for all messages

To change the default theme for all messages you send, go to File> Options> Email (or File> Options> Easy Access) and click the button "Stationery and Fonts".

This will open the "Signatures and Stationery" window, where you can select one of the default themes for new emails and design changes for replies and redirects.

Click on "Theme". b Click the button to reopen the Theme or Stationery window.


Below are three options to choose from, the two lower ones are normally enabled by default.

These options are:

  • Vivid Colors: Changes font colors to colors that stand out for better contrast.
  • Active Graphics: Here you can add graphics inline instead (ie "in the email") to add them as attachments. Do not disable this option if you ever insert images, have an image in your signature, or use emojis.
  • Wallpaper: Many subjects have a background image that is used in the body of the email. If you only want to change the font and not the image, disable this option.

Select the desired theme and click OK to apply it to all new email messages you are creating now. You can also edit the font details for new emails and responses / redirects by clicking the appropriate Font button.

These font buttons are not available if you have selected "Use Topics." If you want to edit the font, change this option first.

You also have the option to provide Outlook with the "Choose a new color when replying or forwarding" option. The colors selected by Outlook can not be edited. This can improve the readability of a long e-mail thread if the recipient does not mind multicolored responses from you.

These changes only affect HTML messages. These are the default types of messages in Outlook. If you prefer to send or read plain text messages, you can not add a topic, but you can change the default font and size.

When you have made the changes you want, click OK and you're done.

Create your own theme

If you want to create your own theme, you can do so. Open a new message and customize the fonts, bullets, background color, and other desired items. Click File> Save As, and paste the following location into the location:

% appdata%  microsoft  stationery 

Change the "Save as type" drop-down list to HTML.

Click Save. Your new design is now available for you to choose from, either for individual messages or as a standard. If you want others to use this theme, such as: For example, members of your team share the file with them and ask them to save them to the% appdata% microsoft stationery folder.
