How to Use Google Drive | Tips, tricks and tips



Of all available cloud storage and file synchronization services, Google Drive is probably the best. The idea is simple: place or create a file in Google Drive, and as long as you have access to the Internet (or download the offline Chrome extension), you can view and edit files on any compatible device. Sure, Google is not the only company that offers this kind of service, but given its seamless integration with other Google services and its easy-to-use collaboration tools, Drive easily comes out of the crowd.

In fact, it's probably one of the simplest cloud services you should use. Instead of putting all the details under the sun, this guide provides a quick introduction to the Drive interface so you can better navigate and use the suite. We also have some tips to help you get the most out of Google's Freemium offering.

Getting Started

Step 1 : If you do not have an account, you must first create a Google Account, before you continue with Google Drive. It's free to sign up, giving you easy, synchronized access to all Google services. You must pay a fee if you need more than 15 GB of storage. Whether you choose to do so will not affect your use of the service. Downloading Google Chrome does not hurt either, as the popular web browser includes a number of enhancements and tools that integrate well with Drive.

Step 2 : Once you're logged in You can access Drive from your browser or the mobile app that is currently available for both Android and iOS.

Once you're logged in to Google Drive, click the blue button New in the upper-left corner or My Drive the yourself located in the middle of the screen. To upload a document to Google Drive, click on Upload Files button under New or My Drive and select a file from your computer. Drive is ideal for personal use. But what differentiates it from other cloud services are its powerful collaboration tools. If you need to work remotely with someone in a project, you can share a document with them and make changes together in real time.

In a shared document, you can see who is currently working on it by locating it in the upper-right corner of the window. Employees' names appear in different colors (or with their account image) so you can easily tell them apart. Hover over any color to see who it is.

Downloading documents and accessing files offline

Another useful feature of Google Drive is the ability to view and edit files without access to the Internet. All you need to do is download the Google Docs offline extension for Google Chrome. Once downloaded – and enabled in the Google Drive settings – you can access specific files (documents, spreadsheets, and presentations), even if you're on the go for hours or no internet. A gray circle with a flash will appear next to your file name in the file window to let you know when you're offline.

One The big problem with working together is that it's generally a problem to repair something that has messed up someone else. Luckily, you do not have to worry if you're in one of those situations – Google has your back. Drive is programmed to store any updated version of your documents for 30 days or 100 revisions, whichever comes first. This allows you to easily access an older version of a document if needed.

To retrieve an older revision of a document, open the document you want to change, click File and select See Revision History below. After selecting this, a bar should appear on the right side of the document listing the previous revisions in chronological order. Click on one of the buttons to preview this particular revision. Click on the blue link Restore this version and everything will be restored to its former state.

Using Google Drive apps

Drive is more than just a file synchronization service or a suite of office software. Google clearly has bigger plans for it. In addition to its proprietary software, Google offers dozens of third-party applications via Drive – apps that let you create charts, edit photos, create 3D models, create sketches, and much more that we have not discovered yet.
